Job Description

Personal Assistant required for a global travel company, providing comprehensive support to the Chief Commercial Officer through all aspects of their role. The Personal Assistant role is a newly created position and will support the CCO with all business duties, ensuring the smooth and efficient flow of information between the Commercial Leadership Team and wider Commercial team through effective management of leadership/partner meetings, whilst coordinating a busy diary. The Personal Assistant will be required to assist with the production of presentation material as well as internal and external communications. This role will be homebased but suitable candidates must be based in the Southeast of England and offers a salary £35,000-£43,000 dependent on experience , 25 days holiday and annual bonus.

Personal Assistant Responsibilities

  • Supporting the Chief Commercial Officer with all business duties, ensuring the smooth and efficient flow of information across the business
  • Ensure day-to-day actions are also completed, including streamlining meetings, agendas and processes across the team, preparation of material for key leadership meetings, and supporting the management and coordination of the Commercial Leadership Team and wider Commercial department.
  • Work in close partnership with the Leadership team and wider team as well as provide leadership and guidance for new joiners to the team
  • Support the CCO and Commercial Team with major trade events; leading on trade operational communications and developing a workflow across the department to manage such trade communications.
  • Management of third parties and event budgets to deliver optimal and effective trade dialogue, consistent with the company brand and vision.
  • Manage and optimise travel planning, including flights, accommodation, expenses, visas for the CCO within agreed policies and parameters
  • Draft production of presentation materials, including Board presentations, briefs, and letters, as well as internal and external communications

Personal Assistant Skills/Experience

  • Previous experience working as a Personal Assistant or Executive Assistant
  • Demonstrated record of managing own workload proactively and efficiently
  • Adaptability, flexible and strong team player
  • Excellent communication and interpersonal skills with the ability to interact effectively, professionally with all levels within an organisation, both verbally and in writing.
  • Proven excellent organizational skills, with the ability to juggle multiple conflicting priorities effectively.
  • Strong self-motivation with experience of a role which requires the use of initiative and being able to proactively anticipate any issues or problems and resolve them
  • Practical working experience demonstrating proficient use of using MS Office tools (Outlook, Word, Excel, PowerPoint, and MS Teams desired)
  • Able to always maintain confidentiality and discretion
  • Excellent verbal and written communication
